House rules for exhibitors/visitors
General rules of conduct
- Respect for others: Treat other participants, visitors, and staff with respect. Offensive language, bullying, or intimidating behavior is not permitted. We ask everyone to be courteous and respectful when entering their stand location, even if this means passing by other exhibitors.
- Respect for property: Do not damage any property belonging to the organization, other participants, or the venue.
- Taking extra tables/chairs or claiming extra stand space: It is not permitted to ‘claim’ a different number of tables or chairs or stand space from your neighbor than what you have paid for. All stand locations, tables, and chairs are allocated according to the reservations and will therefore all be used/occupied.
- Fair play: During competitions or exchanges, everyone should act fairly and respectfully.
Safety and order
- Compliance with safety regulations: Keep escape routes clear and follow the instructions of staff in case of emergency.
- Prohibited/dangerous items: Bringing weapons, dangerous items, or illegal substances is strictly prohibited. As an exhibitor, you may want to stand out with your advertising, but it is not permitted to use flashing images due to the possibility of visitors with epilepsy.
- Supervision of children: Children under a certain age (-12 years) may only attend when accompanied by an adult. Minors remain the responsibility of an adult guardian (such as a parent or guardian) throughout the event. The organization accepts no liability in this regard.
Price fixing and competition
- Cartel formation is prohibited: Price agreements between competitors (such as agreeing on minimum prices, fixed prices, or coordinating price reductions) are illegal under Belgian competition law and European regulations (Art. 101 TFEU). This also applies to agreements that indirectly influence prices.
- Selling below cost: Selling products below your own cost price is permitted, unless this is done with the intention of forcing competitors out of the market (predatory pricing). This is considered unfair competition and is prohibited under the Market Practices Act.
- Sales and promotions: Selling below cost may be permitted in specific situations, such as during sales, clearance sales, or when clearing old stock, as long as this is clearly communicated and is not intended to disadvantage competitors
At our trade fair, it is therefore prohibited to deliberately set prices so low that other sellers are unable to compete or that it constitutes a form of unfair competition, as this is contrary to the Market Practices Act.
Sales and exchanges
- Official and informal sales: Only registered exhibitors are permitted to sell goods. Visitors are permitted to exchange items in the exchange zone, but commercial sales without permission are not permitted.
- Exchange areas are strictly reserved for exchange activities and may not be used for sales under any circumstances. Creating a parallel sales circuit outside of the official exhibitors is prohibited. Violations may result in immediate removal from the event without refund.
- In addition to Pokémon cards, trading cards from other card games, such as Yu-Gi-Oh!, Magic: The Gathering, and Digimon, as well as other Pokémon-related products, may also be sold.
- Illegal sales: If you offer items that have not yet been officially released (before the release date) or counterfeit products, you will be immediately removed from the fair without any right to compensation. In addition, this information will be shared with the organizers of other fairs in Belgium and the Netherlands.
- Mystery boxes: Offering mystery boxes is permitted, but fraudulent practices, such as deception, scamming, and selling fake or misleading products, will result in immediate removal from the fair, and this information will be shared with the organizers of other fairs in Belgium/the Netherlands.
- Exchange rules: Ensure that exchanges are voluntary and transparent. Fraudulent actions or misleading other participants will not be tolerated.
Use of Pokémon cards, merchandise, and other collectibles
- Authenticity: Only official Pokémon, TCG cards, items, and merchandise are permitted in trades, sales, or competitions.
- Prohibition of counterfeiting: The sale or exchange of counterfeit or imitation products is not permitted. In case of doubt, the organization may request verification.
Privacy and photos
- Photography: Taking photos is permitted, but please ask permission if you wish to photograph someone personally.
- Personal data: The organization respects the privacy of all visitors and handles any registered data with care.
Food and drink
- Consumption: Eating and drinking is only permitted in the designated areas. Protect your tickets and belongings from spills.
- Waste: Please dispose of waste in the designated bins and keep the exhibition space tidy.
Animals
- Access for animals: Animals are not permitted, except for certified assistance dogs
Penalties
- Violation of rules: In the event of a violation of the rules, the organization may take appropriate measures, such as issuing a warning, removing the participant from the event, or reporting the violation to the police.
- No refunds: If you are removed for violating the rules, no refund will be given.
